The first time you get scanned at a booth, the exchange looks even. A rep points a phone at your badge, you talk for four minutes about something you are trying to fix at work, and you both move on.

It is not even. The rep now has your name, your company, your job title, your industry, and a set of notes about what you said, all attached to the moment it happened. You have a business card and a fading sense of why you stopped.

Multiply that across three days and you have the thing first-time attendees lose most at a conference this size. The sessions come home with you in your notes and on the slides, and the people come home only if you write them down.

UNBOUND 2026 runs September 16 to 18 at the Menino Convention Center in Boston, with more than two hundred sessions and a floor full of companies who have been preparing for you since spring.

The reason to plan for this rather than wing it is that the event is built differently this year, and the places where you will actually meet people are not the same as the places you will spend your time. UNBOUND 2026 networking happens in four separate places, and each one hands you a different amount of record before you write a single word, so each one needs a different amount of work from you.

Braindates come with half the record already written

A Braindate is a thirty-minute conversation, one to one or in a small group, on a topic somebody posted in advance.

That topic is the most useful thing you will get from any encounter at UNBOUND. You know what the person came to talk about before you sit down, which is more than you will ever know about someone you meet in a corridor.

So the work here is small. Add whether they had already solved the problem or were still inside it, what they tried, what it cost them, and the one thing they said that you were not expecting.

Do it in the chair, before the next thing starts. The topic is posted somewhere and will still be there tomorrow, while your read on the person fades within the hour.

The Exchanges are the only place you will meet the same person twice

The Exchanges are new this year. They are always-on spaces you can return to across the three days, grouped by role in The Sync, by industry in The Sector, and around identity-based communities in The Spot.

Everything else at UNBOUND is a single pass. You meet someone once, and the odds of finding them again in a building that size are poor. The Exchanges are the exception, because you keep going back to the same room.

That changes what your note has to do. It has to be good enough to make the second conversation better than the first.

Write down what the person is working on right now. Their title is on the badge and findable later. The project is the thing you can open with when you see them again on Thursday.

On the floor, they keep the record and you keep a card

Every sponsorship slot on the expo floor sold out this year. A lot of companies paid a lot of money to stand there, and each of them arrives with some form of lead capture system running on a phone or a tablet.

You will be scanned. At the better booths, someone types notes against your name while you are still standing in front of them, which is the difference between a contact list and a record with context in it. In the week after the show, what you receive from them is decided entirely by what that person wrote.

Some of them already have your details without meeting you. At registration you were asked whether HubSpot could pass your name, company, job title, industry, and email to sponsors. If you agreed, a share of what lands in your inbox in September will come from companies whose booth you never walked past.

Your side of the exchange is a card, a QR code, or nothing.

The ninety seconds after you walk away is the only window you get. Write the question you walked up with and whether you got an answer to it. The card carries the company name and nothing at all about why you stopped.

Hallways and queues leave nothing behind

This is where most of it goes, for you and for everybody else. The hallway is the conversation almost nobody captures, because there is no booth, no scanner, and no prompt to write anything down.

You end up next to somebody in the line for the Main Stage, you talk for six minutes about a problem you both have, you send each other connection requests, and neither of you writes anything down. Three weeks later the request is sitting in your inbox attached to a name you cannot place.

The fix is dull and it works. Send the request while you are still standing there, and use the note field. One line saying where you met and what you talked about. That field is the only part of a LinkedIn connection that carries any memory of why it exists.

Thursday afternoon is when you repair all of this

The program closes around 3:00 PM on the last day, and the floor empties before that. Most people spend the gap sitting at the airport.

It is the most valuable hour of the week for what this article is about. Everything you failed to write down on Tuesday is still faintly recoverable on Thursday. By Saturday it is gone.

Go through your cards. Anything you cannot attach a conversation to, throw it away. A card you cannot place is a souvenir, and holding on to it only makes you feel like you networked.

What arrives in your inbox the week after

From around September 19, the emails start.

Most will be generic, because most of the people who scanned you wrote nothing down at the time. A handful will name the exact thing you asked about, carry the material you wanted, and read as though somebody was actually present for the conversation.

The difference comes down to whether anything was captured at the moment it happened, and by whom.

Most people reading this exhibit somewhere themselves. If your company runs a booth next quarter, everyone you meet is going to sort your follow-up into one of those two piles inside about four seconds, using exactly the standard you are applying right now to your own inbox.
